Terms, Safety, Consent & Cancellation Policy

At Luminessence Naturals, we are committed to providing Reiki and Sound Bath experiences in a safe, respectful, inclusive and trauma-informed environment.
Our sessions are designed to support relaxation, mindfulness, self-awareness and general wellbeing. Reiki and Sound Baths are complementary wellbeing practices and are not medical treatment, psychotherapy, counselling or a substitute for professional healthcare.
We do not diagnose, treat or cure medical or psychological conditions, and we do not advise clients to stop, change or delay prescribed medication or professional treatment.
1. Consent, Choice & Personal Autonomy
Your participation is voluntary, and you remain in control of your experience throughout the session.
Before and during a session, you are welcome to communicate your preferences, ask questions, request adjustments, take a break or leave at any time.
You are never required to participate in an activity that makes you uncomfortable.
Reiki & Physical Contact
Reiki may be provided with or without physical contact.
No physical contact will take place without your consent.
You may choose:

Reiki without physical contact

Reiki with agreed, non-invasive contact
-
Specific areas of the body to be avoided

To change or withdraw your consent at any time

To end the session at any point
You will never be asked to remove your clothing for a Reiki session.
There will be no contact with intimate areas, including the breasts or genital area.
2. Our Trauma-Informed Approach
Our practice is informed by trauma-aware principles and recognises that every individual may respond differently to touch, sound, silence, proximity, sensory stimulation and relaxation practices.
We aim to create an environment based on:
Safety • Choice • Consent • Collaboration • Empowerment • Respect
You are not required to disclose personal, emotional or traumatic experiences in order to participate.
We will not ask you to discuss trauma or personal experiences unless you voluntarily choose to share them.
If a sound, instruction, sensation or environment becomes uncomfortable, please let us know. Where reasonably possible, we can adjust the sound level, instruments, distance, positioning, lighting or pace of the session.
You may sit up, change position, take a break, leave the space or stop participating at any time.
3. Sound Bath Safety
Sound Baths involve the use of instruments including singing bowls, gongs, chimes and other sound-producing instruments.
Sound and vibration can be experienced differently by each person. For some individuals, particular sounds, frequencies, vibrations or periods of stillness may feel intense or uncomfortable.
Please contact us before booking if you have a medical, sensory or other wellbeing consideration that may affect your participation.
This may include, but is not limited to:

Epilepsy or a history of sound-triggered seizures

Tinnitus, hyperacusis or significant sound sensitivity

Hearing loss or the use of hearing devices
-
Conditions affected by loud, sudden or unexpected sounds

Certain neurological conditions
-
A pacemaker or significant heart condition

Recent surgery, injury or fracture
-
Pregnancy, particularly where your healthcare professional has advised caution
-
Any condition for which strong sensory stimulation may be unsuitable
This list is not exhaustive.
If you are unsure whether a Sound Bath is appropriate for you, we recommend speaking with your GP, consultant or other suitably qualified healthcare professional before attending.
Sensory & Accessibility Adjustments
Where reasonably practicable, adjustments may include:

Reducing the volume of instruments

Positioning you further away from the instruments

Avoiding particular instruments
-
Providing a seated position
-
Allowing additional personal space
-
Allowing you to leave or re-enter the space where appropriate
Please let us know about accessibility, sensory or other requirements when booking so that we can discuss suitable arrangements with you.
We aim to make reasonable adjustments where required and reasonably practicable.
4. Emotional & Mental Wellbeing
Relaxation and sound-based practices can sometimes bring up unexpected emotions, memories or physical sensations.
This does not mean that the session is treating or resolving trauma or a mental-health condition.
If you are experiencing a mental-health crisis, feel unable to keep yourself safe, or believe that participating may place you at risk, please seek appropriate professional support before attending.
If you are currently receiving medical or psychological care, you may wish to discuss participation with your healthcare professional.
Luminessence Naturals does not provide crisis intervention, psychotherapy, counselling or emergency mental-health support.
If you become distressed during a session, you may stop participating at any time. We will respond with care and, where appropriate, may recommend that you seek additional professional support.
5. Medication, Alcohol & Recreational Drugs
Please do not attend a Reiki or Sound Bath session while under the influence of alcohol or recreational drugs.
If you take prescribed medication, you should continue to follow the advice of your prescribing healthcare professional.
Never stop, reduce or alter prescribed medication because of a Reiki or Sound Bath session.
If you are concerned that medication or a health condition may affect your ability to participate safely, please seek appropriate medical advice before attending.
6. Reiki – Scope of Practice
Reiki is offered by Luminessence Naturals as a complementary wellbeing practice.
Reiki is not intended to diagnose, treat, cure or prevent any medical or psychological condition.
We will never advise you to discontinue medical treatment, psychological therapy or prescribed medication.
Reiki may be used alongside appropriate professional healthcare, but it should not replace it.
Everyone experiences Reiki differently and no particular result or outcome is guaranteed.
7. Confidentiality & Privacy
We respect your privacy and will treat personal information shared during a Reiki or Sound Bath session with care and discretion.
Where you provide information relating to your health or wellbeing, this may constitute special category personal data under UK data protection law. Such information will be handled in accordance with applicable data protection legislation and our Privacy Policy.
We will not disclose personal information to third parties unless:

You have provided appropriate consent;

We are legally required to do so; or
-
Disclosure is necessary to protect someone's vital interests or safety.
Please refer to our Privacy Policy for further information about how your personal information is collected, used and protected.
8. Client Responsibility
You are responsible for providing information that may be relevant to your safe participation.
Please inform us before your session if there has been a significant change to your health, medication, pregnancy status, mobility, hearing, sensory needs or other circumstances that may affect your participation.
You should follow reasonable safety instructions provided by the practitioner or venue.
You remain free to stop participating at any time.
9. Respectful & Inclusive Environment
Luminessence Naturals is committed to providing a respectful and inclusive environment for clients, practitioners and venue staff.
Participants are expected to:

Treat others with courtesy and respect.

Respect personal boundaries and privacy.
-
Follow reasonable health and safety instructions.
-
Avoid behaviour that is threatening, abusive or significantly disruptive.

Not attend while intoxicated.
-
Respect the quiet and restorative nature of the session.

Not photograph, film or record other participants without their permission.
Where behaviour creates a genuine safety concern or significantly affects the wellbeing of others, Luminessence Naturals may take reasonable and proportionate steps to protect participants and staff.
10. Preparing for a Group Sound Bath
Please arrive approximately 15 - 20 minutes before the scheduled start time.
We recommend wearing comfortable clothing and bringing:

A water bottle

Warm layers
-
An eye mask, if desired
Mats, blankets, bolsters and cushions may be provided depending on the venue.
If lying on the floor is difficult or uncomfortable for you, please let us know in advance so that we can discuss available alternatives.
For the comfort of other participants, please avoid strong perfumes, aftershave or heavily fragranced products.
We recommend avoiding a heavy meal immediately before the session.
11. During the Sound Bath
You may lie down, sit or change position according to your comfort and the arrangements available at the venue.
You do not have to close your eyes or remain completely still.
You may leave the space or stop participating at any time.
Please tell the practitioner if you experience:

Dizziness

Nausea
-
Pain
-
Significant discomfort
-
Sensory overload
-
Anxiety or emotional distress
-
Any other reaction that concerns you
We will respond appropriately and make reasonable adjustments where possible.
12. Group Sound Bath Cancellation Policy
Sound Bath events are booked for a specific date and time.
Because places are limited, bookings are normally non-refundable once confirmed, subject to your statutory consumer rights and any rights that cannot lawfully be excluded.
Where reasonably possible, you may transfer your booking to another person. Please contact us in advance with the replacement participant's details.
If Luminessence Naturals cancels an event, you will receive a full refund or, where appropriate, the option to transfer your booking to another suitable event.
13. 1:1 Reiki & Sound Bath Cancellation Policy
Individual Reiki and 1:1 Sound Bath appointments must be cancelled or rescheduled at least 4 days before the scheduled appointment.
Where at least 4 days' notice is provided, we may offer a 50% refund or the option to reschedule, subject to the booking terms applicable to your appointment.
Cancellations made less than 4 days before the appointment may not be eligible for a refund.
Where possible, we may allow you to transfer your appointment to another person or reschedule it.
If Luminessence Naturals cancels your appointment, you will receive a full refund or the option to reschedule.
Nothing in this policy affects your statutory consumer rights.
14. Late Arrival
For group Sound Baths, late entry may not always be possible once the session has started, as entering the space may disturb other participants.
Where safe and practical, we will make reasonable efforts to accommodate late arrivals.
For individual appointments, arriving late may reduce the available session time. Appointments will normally finish at the scheduled time.
15. Children & Young People
Unless specifically stated otherwise, Reiki and Sound Bath sessions are intended for adults.
Where a service is offered to anyone under 18, appropriate parental or guardian consent will be required and additional safeguarding arrangements may apply.
Please contact us before booking a session for a child or young person.
16. Liability
Luminessence Naturals Ltd takes reasonable steps to provide services in a safe and professional manner.
Nothing in these terms excludes or limits any liability that cannot legally be excluded or limited under UK law, including liability for death or personal injury caused by negligence, fraud or fraudulent misrepresentation.
We are not responsible for loss or damage caused by circumstances beyond our reasonable control.
Nothing in these terms affects your statutory consumer rights.
17. No Guaranteed Results
Reiki and Sound Baths are complementary wellbeing experiences.
We do not promise or guarantee a particular physical, emotional, psychological or spiritual outcome.
Any information provided by Luminessence Naturals about wellbeing or relaxation should not be interpreted as medical advice or a medical claim.
18. Client Consent
By booking a Reiki or Sound Bath session, you confirm that:

You have read and understood the relevant safety information.

You understand the nature and purpose of the service.

You understand that Reiki and Sound Baths are complementary wellbeing practices and are not medical treatment.

You will provide information that may be relevant to your safe participation.

You understand that participation is voluntary.

You may withdraw your consent or stop participating at any time.

You will communicate any accessibility, sensory or other reasonable adjustment requirements where possible before the session.
For Reiki, you are not required to consent to physical touch.
19.
Sound Bath Safety
Sound baths involve the use of instruments such as singing bowls, gongs, chimes and other sounds and vibrations. Most people find the experience relaxing, but sound, vibration, lying still or an emotionally immersive environment may feel intense for some people.
Please contact us before attending if you have:

Epilepsy or a seizure disorder, particularly where seizures may be triggered by sound or sensory stimulation

Significant hearing loss, tinnitus, hyperacusis or another sound-sensitive condition
-
A condition that may be affected by loud or unexpected sounds or sensory stimulation
-
A cardiac condition or implanted medical device, including a pacemaker, where you have concerns about exposure to vibration or sound

A recent injury, fracture or condition that makes lying on the floor uncomfortable or unsuitable
-
A pregnancy, particularly if you have been advised to take additional precautions

A condition for which you are currently receiving medical or psychological treatment and you are unsure whether a sound bath is suitable

Any other health or sensory concern that you believe may be affected by sound or vibration
If you have a history of trauma, anxiety or other experiences that may make certain sounds, environments or group settings uncomfortable, please let us know before the session. A trauma-informed approach means that you remain in control of your participation, and reasonable adjustments may be discussed where appropriate.
You may choose to change your position, move further away from an instrument, reduce sensory stimulation, take a break or leave the session at any time.
Reiki Safety
Reiki is offered as a complementary wellbeing practice. It is not intended to diagnose, treat or cure any medical or psychological condition.
Reiki does not replace prescribed medication, medical treatment, psychological therapy or advice from a qualified healthcare professional.
During a Reiki session:

You remain fully clothed.

Touch is optional and will only be used with your informed consent.

You may request no-touch Reiki at any time.

You may pause or end the session whenever you wish.
-
You will never be asked to remove clothing.
-
We will respect your personal boundaries, preferences and sensory needs.
Please tell us before your session about anything that may affect your comfort or ability to participate safely, including pregnancy, recent surgery or injury, mobility difficulties, sensory sensitivities or any other relevant concern (A condition for which you are currently receiving medical or psychological treatment and you are unsure whether Reiki is suitable in this time).
